EU and UK VAT, registered and filed for you

The letter you do not want to open

Picture an envelope from a tax office in another country. The letter inside is in a language you cannot read, and it asks about VAT on stock you sent to a warehouse there months ago.

The rules behind a letter like that are short:

  • Stock in the EU. The European Commission says a business that holds stock in an EU country will normally have to register for VAT there.
  • Sales in the UK from abroad. If your business is based outside the UK and you supply goods there, you must register for UK VAT, whatever your turnover.
  • The marketplace exemption. GOV.UK says that if your only UK sales are of UK stock sold to consumers on an online marketplace, you can apply for exemption instead.
  • Late registration. You pay VAT on every sale since the date you should have registered, and you might pay a penalty.

Stock in an EU countryYou keep stock in an EU country where your company is not registered. Stock in the UKA business based outside the UK that supplies goods there must register for UK VAT, whatever its turnover. If all your UK sales are of UK stock sold to consumers on a marketplace, the marketplace accounts for the VAT and you can ask HMRC for exemption instead.GOV.UK: Register for VAT, when to register and exemption from registration
Shipping to UK shoppers from abroadIf you ship from abroad direct to consumers in Great Britain, you charge UK VAT at the point of sale on consignments worth £135 or less, and you register for VAT to do so. Excise goods are excluded. Sales through an online marketplace follow different rules.GOV.UK: VAT and overseas goods sold directly to customers in the UK
EU company shipping to other EU countriesIf you ship from your home EU country to shoppers in other EU countries, VAT is due where the goods arrive once those sales pass €10,000 a year. The optional OSS scheme lets you declare that VAT in one quarterly return.European Commission: One Stop Shop
Shipping from EU stock across bordersIf you ship from EU stock to shoppers in other EU countries, the optional OSS scheme lets you declare the VAT on those sales in one quarterly return. Without it, you would have to register in each EU country where you have customers.European Commission: One Stop Shop
Shipping to EU shoppers from outside the EUIf you ship to EU shoppers from outside the EU, the optional IOSS scheme lets you collect VAT at the sale on consignments worth €150 or less (not excise goods); the import is then exempt from VAT. On marketplace sales, the marketplace accounts for that VAT.European Commission: Explanatory Notes on VAT e-commerce rules, sections 2.1 and 4.2

The process

Four steps, and the first takes 60 seconds

  1. Book your first call

A specialist goes through where your company is, where you sell and where your stock sits, and confirms what your shop needs.

  2. Send your documents

You sign up on our filing platform, fill in your business profile and upload the documents it asks for.

  3. You get your VAT number

We help with most of the application. The tax office issues your number, and you can start selling in that country.

  4. We file your returns

Connect your marketplace account or upload a CSV file. We file your monthly, quarterly or yearly returns from that data.

Questions

What sellers ask first

Do I need a VAT number in every EU country I sell to?

Not if you use OSS. The European Commission’s guidance says you will normally need a VAT number in each EU country where you keep stock and your company is not registered.

Sales you ship from that stock to shoppers in other EU countries can go on one quarterly return through the optional OSS scheme. Without OSS, the Commission says, you would have to register in each EU country where you have customers.

I use Amazon FBA. Why does stock location matter?

With Pan-European FBA, Amazon stores your inventory across its EU fulfillment network in the countries you enable, and its own page asks you to enable at least two of France, Germany, Italy, Spain and Poland. The same page warns that storing goods outside your home store brings additional VAT reporting requirements.

The European Commission’s guidance says a business that holds stock in an EU country will normally be required to register for VAT there.

How long does a VAT number take?

The tax office in each country sets the pace, so there is no standard time. Ask on your first call for the current wait in the countries you need.

What are government fees?

Official charges a government body sets. They are not part of our prices. Ask on your first call which ones apply to your countries.

I already have a VAT number with another agent. Can I switch?

Yes. We move your number from your old agent, and our 1-year package covers a registration or a transfer. The price table on this page shows what a transfer costs.

Who files my returns?

We do. You connect your marketplace account or upload your sales as a CSV file, and we file your monthly, quarterly or yearly returns.

For the UK, GOV.UK confirms that you can appoint an agent to submit your VAT Returns and deal with HMRC for you.

What if I change my mind?

Check the money-back guarantee on this page before you pay, and ask us about anything it does not answer.
